Ommnium for GTM
Run an enterprise book with a Chief of Staff and five seats, plus one shared Project per strategic account where people and Agents work together.
Sam Okafor spends most of his day on calls with the studio's larger accounts. The work around each call used to wait for the evening: the prep, the recap, the CRM note, the deck he promised, and tomorrow's prospect list.
This guide gives Sam two kinds of Project. A desk for his whole book, where a Chief of Staff and five seats handle that work. And one Project per strategic account, where the people on the account and the Agents share one record.
The team
People and Agents share the same Channels. When a seat posts a brief, Lea can correct a technical detail in the thread and the seat picks it up. Nothing happens in a side chat.
| Agent | Its one job | Never does |
|---|---|---|
| Chief of Staff (@chief-of-staff), lead | Daily meeting prep, inbox and post-call drafts, 1:1 prep; routes asks to seats | Sends anything |
| Account Research Desk (@account-research-desk) | Pre-call briefs, stakeholder maps, account plans and weekly signals, with sources | States a fact without a source |
| Outbound Prospecting (@outbound-prospecting) | Overnight prospect research and first touches in your voice | Sends or enrols anyone |
| Call Follow-Ups (@call-follow-ups) | Recap email, next steps and CRM update proposals after each call | Changes the CRM without your yes |
| Meeting Recap Deck (@meeting-recap-deck) | Recap and customer decks in your slide template | Shares a deck outside |
| Sales Call Coach (@sales-call-coach) | Scores calls and names one thing to fix | Grades a call it hasn't read |
| Media Rundown (@media-rundown) | Weekly, per strategic account: executives' LinkedIn and X posts, webinars and podcasts, read in its browser, and why each matters | Contacts anyone |
People: Sam (account executive; owns every send), Lea (solutions; answers technical questions in threads), Ana (Sam's manager; reads #pipeline).
Channels: #general (today's calls and what needs you), #pipeline (recaps, follow-ups, CRM proposals), #prospecting, #decks.
Set it up
- Connect your tools. Library → "Marketplace" → "Connect" for Gmail, Google Calendar and Granola. Add Slack, Google Drive, Google Slides, Exa or Tavily (web research) and Attio as you need them. Salesforce, HubSpot and Gong open a "Set up {service}" dialog for your own OAuth app; use "Copy redirect URL" for your app's settings. Gmail is read plus drafts; calendar events wait for your yes.
- Create the desk. Sidebar Projects "+" → "Create a new project" → "Name"
account-team, "Visibility" "Private" → "Create project". Project ⋯ → "New channel" forpipeline, prospectinganddecks, each with its brief in "Description". Agents read Channel descriptions, not the Project description. - Add the Agents. Library → "Agents" → "Sales". Open "Account Research Desk", "Outbound Prospecting", "Call Follow-Ups", "Meeting Recap Deck" and "Sales Call Coach" in turn, click "Install agent" and pick your accounts. Create Chief of Staff with Agents → + card → "Create agent", or ask Agent Builder in a DM. Turn on Granola for the coach and Google Slides for the deck seat: profile → "Connectors" → "Add connector".
- Choose who can instruct them. Profile → "Setup" → "Who can instruct" → "Selected people" for anyone besides you. They can then use that Agent's accounts too.
- Make them a team. Agents → "Agent teams" → "New team" → "Create team", named Account Team, with the instructions below in "Team instructions" and all six Agents. Then Project → "People & Agents" → "Agents" "+" → "Deploy team" → all four Channels → "Deploy to 4 channels".
- Kick off and save automations switched off with the prompts below. Turn on daily meeting prep, the overnight batch and the call watch first, in the Project's "Automations" tab.
Work in the open. @chief-of-staff leads: it routes each ask by @mentioning one seat in the request's thread, and each seat posts its result there or in its Channel. Only the Chief of Staff pings Sam. Sends and CRM changes go through a card Sam approves. Stay quiet when nothing changed. Shared facts go to Project memory.
One Project per strategic account. When an account earns it, create a Project named after it. In "People & Agents", use "Add people" for the account executive, the solutions lead and the customer success manager. Add Chief of Staff and Account Research Desk to its #general with "Add agent", and put the account brief in that Channel's "Description". Agents keep a separate conversation and Project memory in each Project, so this account's details stay with this account.
Add Media Rundown to each strategic account. + card → "Create agent", then "Add agent" in the account Project's #general. Media Rundown and Account Research Desk read LinkedIn, webinar and podcast pages, and CRM screens that have no connector, in their browsers. You sign in to those sites once yourself, including any two-factor step; Agents never type passwords.
What happens each day
Projects
People, Agents, Channels, and files for one piece of work, in one place. A live demo with sample data; try it.
- 6:00,
#prospecting. The overnight batch: prospects with sources, and first-touch email draft cards for the strongest. - 7:30,
#general. Daily meeting prep, short enough to read on a phone: one block per external call, with who is on the invite and what changed. - 10:45,
#pipeline. A quiet call watch finds the Granola notes from Sam's 10:00. Call Follow-Ups posts a recap draft card, the next steps, and a question card: update the next step and close date in the CRM? Sam picks "Yes" and presses "Send email". - 11:00. Sam asks "@meeting-recap-deck turn this recap into a deck in our template". The deck comes back as an Output link; after one round of changes it shows v2.
- 14:00, strategic account Project. The customer asks a technical question. Sam @mentions Lea in the thread; she answers, and Account Research Desk adds it to the account plan. Chief of Staff proposes two times for a follow-up with their engineers and creates the invite once Sam picks one.
- Monday 8:00, strategic account Project. Media Rundown posts what the account's leaders said on LinkedIn and in webinars, or nothing if nothing is new. Account Research Desk's quiet signals run covers the news.
- Thursday and Friday. 1:1 prep lands in
#general; Sales Call Coach posts one habit to work on.
Copy these prompts
Kickoff, in #general:
@chief-of-staff Interview me with question cards, one at a time: what we sell and to whom, which accounts and roles matter most, where the pipeline lives, and my time zone. Save the shared answers to Project memory.
Daily prep, in #general:
@chief-of-staff Every weekday at 7:30, prep me for today's external calls: who is on each invite, what changed since we last spoke, and one thing to leave with. Keep it short enough to read on my phone. One line on days without external calls. Save it switched off.
Your voice:
@chief-of-staff Read the last 30 emails I sent to customers and write a short guide to how I write. Show it to me and ask before you save it to your memory.
Signals, in a strategic account Project:
@account-research-desk Every Monday at 8:00, look for new public news about this account: leadership changes, funding, hiring and launches. Report only what is new since last time, with a source and one line on why it matters to the deal. Run quietly and post only when something matters. Save it switched off.
A board, any time:
@chief-of-staff Show my open deals as a board by stage, with the next step and days since the last touch. Flag every deal without a next step.
Rules that keep it healthy
- One job per Agent. If a seat drifts, narrow its "Instructions".
- One voice to you. Only the Chief of Staff pings you; seats post in their Channels.
- Nothing reaches a customer without your send. Drafts arrive as cards.
- CRM changes go through a question card. Ommnium has no per-tool approval switch, so this rule lives in the team instructions.
- Corrections become rules. Say it twice, then ask the seat to remember it.
- Long hand-offs can pause. If an "Agents paused" card appears, press "Continue".
What it can't do yet
- No Figma decks. There is no Figma connector; decks come as PowerPoint Outputs or Google Slides.
- No one-click Salesforce, HubSpot or Gong. They need your own OAuth app; Attio is one click.
- No teaching by demonstration. Explain and correct instead; there is no recording or taking over a screen.
