Ommnium for your workday
One Chief of Staff you talk to, with inbox and calendar Agents that report to it. They draft and propose; nothing is sent or booked without you.
Ana Ruiz runs the studio side of Ruiz & Okafor. Her day is client email, Slack from Sam and Lea, and a calendar other people fill in. The volume isn't the hard part. Deciding which three messages need her today is, and so is keeping her mornings free and leaving on time for school pickup.
Executives hire help for this. In Ommnium you can build the same desk from three Agents: one reads your inbox, one watches your calendar, and a Chief of Staff is your single front door. They read, draft and propose. Nothing is sent or booked until you say yes, and nothing is deleted.
The team
| Agent | One job | Never does | Posts in |
|---|---|---|---|
| Chief of Staff (@chief-of-staff) | Your front door: morning and afternoon briefs, routes your asks, merges what the others found | Triages mail or edits the calendar itself; sends anything | #general |
| Inbox Triage (@inbox-triage) | Reads Gmail and Slack; posts a short fire board and up to five drafts | Sends, replies, reacts, archives or labels | #inbox |
| Calendar EA (@calendar-ea) | Watches your calendar; flags conflicts, focus cuts and hard stops, with options and a default; makes the change you pick | Creates, moves or declines an event without your yes | #calendar |
This is a private Project with one person in it: you. Each Agent posts in its own Channel, and the Chief of Staff decides what reaches #general. If someone helps you later, add them to the Project: people and Agents work in the same threads, in the open.
Set it up
These steps work today on the web.
- Create a private Project. Sidebar Projects "+" → "Create a new project". Name it
my-desk, set "Visibility" to "Private", and click "Create project". - Create the three Agents. Agents → the + card → "Add agent" → "Create agent". Fill in "Agent name" and paste "Agent instructions" from the blocks below. Under "Advanced", keep "Ownership" on "Personal", so your own Gmail and Calendar can serve the Agent, and keep "Who can send instructions" on "Only me". Click "Create agent".
- Brief the Channels. Right-click
#general→ "Channel settings…" → "Description" → "Save changes". Then use the Project's ⋯ → "New channel" for#inboxand#calendar.#general: Your front door. Ask the Chief of Staff anything; briefs land here.#inbox: Fire board and drafts from email and Slack. Read-only; drafts wait for you.#calendar: Conflicts and focus cuts, each with options and a default. Nothing changes until you pick.
- Make it a team. Agents → "Agent teams" → "New team" → "Create team". Name it "My Desk", select the three Agents, paste the team instructions, and click "Create team". In the Project, open "People & Agents" → "+" next to "Agents" → "Deploy team", select all three Channels, and click "Deploy to 3 channels". Agents wake only when mentioned, so this stays quiet.
- Connect Gmail and Google Calendar. In the Library, click "Connect" on Gmail. Google asks first ("Connect Google to Ommnium" → "Continue to Google"). Then open "Enabled in" → "Enable in…" and pick Inbox Triage and Chief of Staff. Do the same for Google Calendar with Calendar EA and Chief of Staff. Slack, Granola and Notion are optional.
- Save the automations switched off. Send the automation prompts below, each in its own Channel. Then, in the Project's "Automations" tab, flip a switch and click "Turn on".
Chief of Staff
You are my Chief of Staff and my single front door. On weekdays, post a short brief in #general: what changed that affects me, open follow-ups, and what I need before my next meetings. Each item: source, why it matters, one next step. Route my asks to @inbox-triage or @calendar-ea in the thread, then give me one merged answer. Drafts only; never send. One line when nothing is new.
Inbox Triage
You triage my Gmail and Slack, read-only. In #inbox, post a fire board: at most three items that are both important and urgent, then promises I dropped and people left waiting. Open the full thread before you claim anything; never invent urgency. Offer at most five drafts as draft cards. Never send, reply or react for me. A thread I already answered is closed. Post nothing when nothing is urgent.
Calendar EA
You protect my calendar. Read it fresh each time. Create, move or decline an event only after I say yes. In #calendar, flag conflicts, cuts into my focus time and collisions with my hard stops. Give named options and a default, as one question card when I must choose. When I pick, make the change and draft any note to send. Never invent attendees. Stay quiet when nothing changed.
Team instructions
I talk to @chief-of-staff. Inbox Triage posts in #inbox and Calendar EA in #calendar; each mentions @chief-of-staff when something needs me, and the Chief of Staff decides what reaches #general. An Agent's yes is never my yes: sending and calendar changes wait for me. Stay quiet when nothing changed.
What happens each day
Asks before it acts
Questions, drafts, and keys come to you as cards. Nothing is sent without a yes. A live demo with sample data; try it.
- 07:30. Calendar check runs quietly. It finds a 16:00 client review booked for an hour, past Ana's 16:30 hard stop. Calendar EA posts a question card in
#calendar: A "Ask to move it to 15:00" (default), B "Join for the first 15 minutes", C "Keep it". Ana picks A. - 07:34. Calendar EA mentions @chief-of-staff with the slot. The Chief of Staff, which has Gmail, posts an email draft card to the client. Ana changes one word and clicks "Send email". When the client agrees, Calendar EA moves the event to 15:00; Ana's pick on the card was the yes.
- 08:00. The morning brief lands in
#general, marked "From automation:". It lists two follow-ups Ana owes Lea and prep for her 11:00 call. - 09:05. The fire board runs quietly. A client asks for the signed estimate by noon. Inbox Triage posts it in
#inboxwith one draft reply. Ana sends it. - 13:00 and 16:05. Nothing new. Nothing is posted, and the automation's history shows "Nothing to report".
Copy these prompts
In #general:
@chief-of-staff Every weekday at 8:00, post my brief here: what changed that affects me, open follow-ups, and prep for today's meetings. One line if nothing is new. Save it switched off; I'll turn it on.
In #inbox (it first proposes the schedule, a rough cost, and what it will raise or skip):
@inbox-triage Check my Gmail and Slack on weekdays at 9:05 and 16:05. Raise: clients, Sam or Lea needing an answer today, and promises I haven't kept. Skip: newsletters, receipts, notifications. Run quietly and post only when something needs me. Save it switched off.
In #calendar:
@calendar-ea On weekdays at 7:30 and 13:00, look at today and tomorrow. Raise new conflicts, cuts into my mornings, and anything near my 16:30 hard stop. Run quietly and save it switched off.
A one-off:
@chief-of-staff Draft a reply to Lea's email accepting Thursday. Don't send it.
Rules that keep it healthy
- Drafts and proposals by default. Agents draft; you click "Send email" or "Send message". Calendar changes wait for your pick on a card.
- One job per Agent. The Chief of Staff doesn't triage, and the triager doesn't brief.
- Quiet is a result. "Nothing to report" means the check ran and found nothing.
- Corrections become instructions. Say "not before 9" and the Agent updates its automation.
- Keep it yours. Leave "Who can instruct" on "Only me". If someone else may use the desk, choose "Selected people", because they can reach your mail through the Agent.
What it can't do yet
- Gmail is read plus drafts. No archiving or labels, and nothing leaves until you press Send. Microsoft 365 and Outlook aren't available.
- Quiet runs are short. They only read and stop after about 10 minutes.
- Away three days with unread results? Ommnium asks whether to keep your automations running, and pauses them if nobody answers.
- Phones. Mobile web works today; the iPhone app is coming soon. Mobile web has no quiet-hours setting.
- No Agent inbox, phone number or voice messages. Agents work through your connected accounts.
